For Production Supervisors ·
What you'll accomplish
By the end of this guide, you'll have a reliable system for translating safety briefings, job instructions, policy updates, and performance feedback into the languages your workers actually speak — reducing miscommunication, improving safety, and making every worker feel included regardless of their English level.
What you'll need
Before you start, make a quick list of the primary non-English languages your workers speak. You only need to know: "Most of my team speaks Spanish, and I have 3 Haitian Creole speakers." That's enough.
Go to chatgpt.com, sign in, and start a new chat.
Write out what you need to communicate in plain English. For safety communications, write it simply — as if you were explaining it to someone new.
Paste your text and give clear translation instructions:
Basic translation:
Translate the following workplace safety communication into [language]. Use simple, clear language appropriate for a production floor worker: [paste your text]
Multiple languages at once:
Translate the following communication into Spanish and Haitian Creole. Use simple, clear language for production workers: [paste your text]
Translation with a back-translation check:
Translate this into Spanish for a production floor worker: [paste text]. Then provide a back-translation into English so I can verify accuracy.
Read the output and if anything looks off, ask:
For critical safety instructions, have a fluent speaker review before posting or distributing.
For printed communications: copy the translated text into Word or Google Docs, format with large, readable font (minimum 12pt), and post at eye level near the relevant work area. Consider posting both English and the translation side by side.
PPE or safety rule announcement:
Translate this safety announcement into [language] for production floor workers: "[Your announcement text]"
Process or procedure change:
Translate this process update into [language] using simple language for workers with varying education levels: "[Your update text]"
Performance feedback (sensitive conversations):
I need to tell an employee: "[what you need to communicate in English — e.g., 'Your attendance has improved and I appreciate the effort']." Write this in [language] in a respectful, professional tone.
Safety instruction for a specific task:
Translate these safety instructions for [machine/task] into [language]. Use numbered steps: [paste your instructions]
Emergency information:
Translate this emergency procedure into [language]. Use very simple language — short sentences: [paste emergency procedure text]
